What this tool does

It produces a finished invoice from a short form. You enter your details, your client’s details, and one row per thing you are charging for; the tool multiplies quantity by unit price on every line, adds them up, applies your tax rate, subtracts any discount and any deposit, and shows the balance due. The result is laid out as an A4 document you can print to PDF and send. Everything happens in the page — there is no account, no server and no watermark on the output.

Method

The order of operations is the conventional one, and it matters:

StepRule
Line amountquantity × unit price
SubtotalΣ line amounts
Taxablesubtotal − discount
Taxtaxable × rate ÷ 100
Totaltaxable + tax
Balance duetotal − deposit

The discount is taken before tax, which is the ordinary reading of “10% off” and the rule most tax authorities expect. Every figure is rounded to the cent only once, at the edge, so the total you see equals the lines you can check by hand.

Example

LineQtyUnitAmount
Design work1075.00750.00
Hosting (annual)1120.00120.00

Subtotal 870.00, discount 50.00, taxable 820.00, tax at 10% = 82.00, total 902.00, deposit 200.00, balance due 702.00. Those are the numbers the page produces with its starting values, and you can follow each one back to a line in the table above.

Getting a good PDF

The print stylesheet removes the form, the site header, the footer and the adverts, so what reaches the print dialog is just the document. In the browser’s print dialog, set the destination to “Save as PDF”, leave margins at the default, and turn off “Headers and footers” so the page URL and date are not stamped on the invoice. If your browser has a “Background graphics” option, leave it on so the rules and the totals block are shaded.

This tool formats a document and does the arithmetic; it is not accounting software and does not file tax. It stores nothing — close the tab and the invoice is gone — so keep the PDF. Verify the totals against your own tax rules before you send it.

Frequently asked questions

Can I apply more than one tax rate?

No — the invoice applies one rate to the discounted subtotal. That covers the common case of a single VAT, GST or sales-tax rate. Mixed-rate invoices (for example, zero-rated and standard-rated lines) need the rate per line, which this form does not model; split the document by rate or use accounting software rather than hiding the difference in a note.

How should I number invoices?

Use a sequence you can defend: a stable prefix, the year, and a zero-padded counter, such as INV-2026-0042, incremented once per issued invoice and never reused. The tool does not generate the sequence because it stores nothing; keeping the counter in your own records is what makes the number meaningful and auditable. A gap in the sequence is easier to explain than a duplicate.

How do I turn the invoice into a PDF?

Press “Print / save as PDF” and choose “Save as PDF” as the destination in the print dialog. The page ships a print stylesheet that hides the form, the site header and the adverts, so the PDF contains only the finished invoice on a clean white page. Send that file to your client, or attach it to the email that asks for payment.

Is my client’s information uploaded anywhere?

No. There is no server, no account and no storage. The names, addresses and amounts are typed into the page and never leave your device; the arithmetic runs in your browser and the PDF is produced by your own print dialog. You can use the tool offline once it has loaded.

How is the invoice total worked out?

Each line is quantity × unit price. Those are summed to a subtotal, any discount is subtracted, the tax rate is applied to what remains, and a deposit already paid is subtracted to give the balance due. The order matters — discount before tax — and the on-page method section spells it out so you can check it against your own rules.

If I charge VAT, does this calculate it correctly?

It applies a single rate to the discounted subtotal, which matches the common “tax on the net amount” rule used in most VAT and sales-tax systems. It does not handle per-line rates, exemptions, reverse charge or the round-by-line versus round-at-total choice, which differ between jurisdictions. Check with your accountant if any of those apply.

Can I save an invoice to send later?

The tool does not store anything, which is what keeps it private. To keep a copy, print it to PDF — that file is the record. For a repeatable template, fill the fields once and bookmark nothing: the page always starts blank, so every invoice you make is discarded when you close the tab.

What should an invoice include?

At a minimum: a unique number and the date, your details and your client’s details, a description of each item with quantity and price, the total and any tax, the amount already paid and the balance, and how and by when to pay. All of those have a field here, and the notes box is the place for payment terms and bank details.
